Position Description
America Votes is currently seeking a Development & Grants Assistant to join our diverse and high performing Development & Grants team. Reporting to the Director of Development, the Development & Grants Assistant serves as the backbone of department operations by ensuring all administrative processes are in place to execute the department's work. This includes, working closely with other departments to ensure compliance needs are met, assisting with contribution tracking and acknowledgement, supporting donor communication needs, and other related projects as assigned. This is a temporary position, ending on March 31, 2025.

Responsibilities
Support Grants Manager in working with finance and legal teams to ensure grantees have submitted necessary documentation for tracking.
Provide additional support on tracking and summarizing grantee reporting for internal and external communications.
Coordinate with the political department and state staff to gather information for regular funder updates on overall program execution.
Support the productions of various donor communications including research, content collection, copy-editing, etc.
Support the executing of in-person and virtual donor briefings (including slide administration and management).
Provide dedicated administrative support for fundraising principals, to include assistance with scheduling, meeting prep, and other logistical needs.
Manage the EveryAction platform, covering all data entry and system maintenance.
Maintain all contribution related information including invoices and contribution instructions.
Manage a weekly "state highlights" report summarizing key developments from target states.
Support the logistics of State Summit sponsorships deliverable collection and provide additional assistance as needed.
Attend fundraising events, meetings, and gatherings as needed.
Provide additional support as needed for dedicated organizational projects that impact department work.
Qualifications
Has experience in a finance or data role in a fast-paced environment

Compensation
The salary for this position will be between $53,000 and $58,000 and depend upon the applicant's experience. In a fast-paced team setting, the Senior IP Billing Coordinator is responsible for a wide range of billing activities, including preparing and distributing invoices, communicating billing issues to various levels of the organization and working with the Firm’s clients, partners and personnel to address billing related issues. This individual is expected to deliver high quality work product and excellent service to both internal and external clients. In addition, the Senior IP Billing Coordinator also supports several Billing Manager functions, on an as needed basis. This includes reviewing inventory reports, auditing final invoices and making suggestions on how to improve processes and policies.
Job Functions:
Provide a high level of service to the Firm’s clients, partners and personnel to ensure the accuracy and timeliness of invoices.
Develop a strong rapport with the Firm’s partners and assistants. Initiate periodic follow up meetings with them to ensure that billing needs are being met and invoices are processed and sent in a timely manner. Follow-up items may span multiple months. Must be able to schedule reminders and monitor incomplete items.
Research and respond to billing related issues and inquiries, including the preparation of status reports as requested. Must be comfortable querying systems including, but not limited to, CPi, Elite and the USPTO site.
Utilize Elite to generate, distribute and edit proformas. Editing includes transfers, write-offs and adjustments to time entries resulting in final invoices which are sent to the client. Prior to distribution, IP billing also requires a pre-review of the proformas to flag for completed tasks, budgets, and other various edits.
Review own work and that of others, as part of the department’s quality review process.
Prepare billing related reports to ensure that client accounts are being billed as agreed upon in the terms of the engagement letter. This may include monitoring alternative rate billing schedules, tracking budgets and preparing customized client-side reports and invoices.
Assist in month and year-end close activities working with other departments and management.
Mentor and train new billing coordinators on procedures and departmental computer applications. Work with the Patent Team to train timekeepers on time entry and billing. Follow up with timekeepers who are not in compliance.
Keep Billing Manager informed about compliance, issues and potential risks.
Assist the Billing Manager with reviewing inventory reports. This includes reaching out to attorneys regarding aging WIP and following up with attorneys responsible for reviewing other Billing Attorney’s invoices.
Work overtime as needed, or when requested to do so with advance notice.

Develop a strong rapport with the Firm’s partners and assistants. Initiate periodic follow up meetings with them to ensure that billing needs are being met and invoices are processed and sent in a timely manner. Follow-up items may span multiple months. Must be able to schedule reminders and monitor incomplete items.
Research and respond to billing related issues and inquiries, including the preparation of status reports as requested. Must be comfortable querying systems including, but not limited to, CPi, Elite and the USPTO site.
Utilize Elite to generate, distribute and edit proformas. Editing includes transfers, write-offs and adjustments to time entries resulting in final invoices which are sent to the client. Prior to distribution, IP billing also requires a pre-review of the proformas to flag for completed tasks, budgets, and other various edits.
Review own work and that of others, as part of the department’s quality review process.
Prepare billing related reports to ensure that client accounts are being billed as agreed upon in the terms of the engagement letter. This may include monitoring alternative rate billing schedules, tracking budgets and preparing customized client-side reports and invoices.
Assist in month and year-end close activities working with other departments and management.
Mentor and train new billing coordinators on procedures and departmental computer applications. Work with the Patent Team to train timekeepers on time entry and billing. Follow up with timekeepers who are not in compliance.
Keep Billing Manager informed about compliance, issues and potential risks.
Assist the Billing Manager with reviewing inventory reports. This includes reaching out to attorneys regarding aging WIP and following up with attorneys responsible for reviewing other Billing Attorney’s invoices.
Work overtime as needed, or when requested to do so with advance notice.

The NDC Partnership brings together more than 200 members, including more than 115 countries, developed and developing, and more than 80 institutions to create and deliver on ambitious climate action that helps achieve the Paris Agreement and the Sustainable Development Goals (SDGs). Governments identify their NDC implementation priorities and the type of support that is needed to translate them into actionable policies and programs. Job Summary
An Associate degree in accounting, finance, business administration or related field is preferred although two (2) years of increasingly responsible work experience would suffice. The degree must have been conferred by an institution of higher education and have National Recognition of Accrediting Agencies by the U.S. Secretary of Education, and official transcripts will be required at the time of hire.

HMS was founded in July 2018 and is the world’s first academic department devoted to the science of health metrics. As a new department, we are looking to hire an individual who will provide vision and leadership to further grow the academic department by providing administrative leadership in the overall direction and management for HMS academic programs and department needs. RESPONSIBILITIES: Academic program planning and management • Provide overall oversight, leadership, and communication for the department’s academic programs by developing, implementing, and monitoring the strategic plan and goals for academic program growth. • Develop, maintain, and understand policies and procedures relevant to the HMS department to comply with UW, state, and federal regulations. • Develop relationships across campus to effectively execute departmental goals, to advocate for exceptions or flexibility where needed, and to keep the department apprised of issues impacting department and/or students. • Manage efforts for program evaluation, including 5- and 10-year academic program review, and ongoing departmental self-evaluation. • Oversee the department website, including all aspects of department functions: outreach activities, research enterprises, faculty bio-sketches and publications, and training programs. • Direct curriculum planning management, administering curriculum change, course change/creation, and submission of proposals through relevant college and university approvals (CEP, Graduate School, FCAS, etc.). • Provide leadership and oversight to ensure teaching faculty can run their courses successfully, for example, building and updating course websites and developing and organizing course materials. • Coordinate HMS student and academic appointee hiring needs with IHME Academic Human Resources. • Ensure a process is in place to comply with UW records management directives. Business planning and management • Lead HMS DEI committee collaborating closely with IHME’s Chief Diversity Officer to influence, develop, and measure success of DEI initiatives. • Plan, research, secure commitment and resources for new academic programs, for example, self-sustaining, online, and or additional degree programs. • Develop and/or identify, in collaboration with the Chief Philanthropy Officer and the Proposal Development team, opportunities to provide scholarship, fellowship, and other funding opportunities for students to underpin department finances and support the growth and diversity of student success. Liaise with university offices responsible for managing and growing student funding. • Liaise with Finance, Planning, and Operations (FPO) and Organizational Development and Training (ODT) at IHME to assess value of various programs for students, employees, and toward building the sciences of health metrics more globally. • In coordination with FPO and ODT, participate in annual budgetary planning and manage the overall annual budget for academic programs, graduate research assistantships, and student services. • Create ownership and traction around the HMS “brand,” for example, through the HMS Lecture Series, collaborations with other departments, department newsletter, and marketing and development materials for the degree programs. • Manage the PhD Program Manager, Degree Program and Fellowship Manager, and other staff as we grow, to include hiring and training, managing workflow and guiding priority setting, and contributing to professional growth and performance assessments for supervisees. • Oversee the Post-Bachelor Fellowship program (program planned to be discontinued; last cohort graduates August 2023). • Participate in professional development opportunities to expand knowledge base for the position. Academic advising and student services • Provide leadership and direction to the Academic Programs Management group. Lead facilitation of the group and the planning efforts undertaken. • Oversee the program staff for timely, accurate, and constructive advising services to HMS students ensuring strictest standards of confidentiality and discretion. Provide backup advising for graduate advisers. • Develop and support a faculty-student advising program through individual consultations and training resources. • Assist and support the program managers in ensuring compliance with relevant policies relating to the handling of admission materials and decisions. Ensure alignment of admissions policies with outreach, recruitment, and diversity goals. • Track funding status of current graduate students (RA, TA, UW fellowships, external fellowships). • Support program managers and department leadership in responding to academic and non-academic conduct cases. What you will do:
Provide high-level confidential administrative support for the Water Resources Program (WR) Northwest Regional Office section manager and offer high-level administrative support to a team of water resources professional staff.
Oversee purchasing requests, make travel and scheduling arrangements, and represent the section manager in select management-level meetings.
Administratively process new and change water right applications for accuracy, completeness and compliance with code.
Coordinate the section's public disclosure request responses and work with Central Records staff to ensure complete and timely responses are made.
Act as the Human Resource liaison for the section with regard to section recruitment and hiring.
Be a part of a regional administrative team that supports one another and provide back-up support for other regional environmental programs.

This position is located in our Northwest Regional Office (NWRO) Located in Shoreline, WA. In this role, you will serve as the principal assistant to the Water Resources (WR) Northwest Regional Office Manager and offer broad support to a team of technical and permitting staff. You will provide independent and high-level confidential administrative support and oversee elements of day-to-day office management. In addition to administrative duties, you will assist with permitting actions and learn how water resources are managed and protected in Washington State. The mission of the Water Resources (WR) program is to support sustainable water resources management to meet the present and future water needs of people and the natural environment, in partnership with Washington communities.

Please Note: The salary posted above does not include the additional 5% premium pay that this position will receive due to this position's location in King County.

Duties
What makes this role unique?
In this role, you will support a team of water resources professionals who are dedicated to managing this shared resource for future generations. We are looking for applicants who are professional, organized, are able to perform in a fast paced, ever changing environment; have strong time management and calendaring skills; who possess excellent written and verbal communication skills and are a team player.
What you will do:
Provide high-level confidential administrative support for the Water Resources Program (WR) Northwest Regional Office section manager and offer high-level administrative support to a team of water resources professional staff.
Oversee purchasing requests, make travel and scheduling arrangements, and represent the section manager in select management-level meetings.
Administratively process new and change water right applications for accuracy, completeness and compliance with code.
Coordinate the section's public disclosure request responses and work with Central Records staff to ensure complete and timely responses are made.
Act as the Human Resource liaison for the section with regard to section recruitment and hiring.
Be a part of a regional administrative team that supports one another and provide back-up support for other regional environmental programs.
Qualifications
Required Qualifications:
High school graduation or GED AND a total of Four (4) years of experience and/or education as described below:
Professional Level Experience in: clerical, secretarial, bookkeeping, accounting, or general administrative office work experience.
Education: A Bachelor’s degree in business administration, public administration or closely allied field.

One (1) year of experience as an Administrative Assistant 2, at the Department of Ecology. Special Requirements/Conditions of Employment: Must possess and maintain a valid driver’s license. Interest in waters resources issues and environmental management.
Proficient in the use of computers and software, including: Outlook Calendar, Microsoft Word, Excel, Access and Power Point to organize work and create, format, and edit a variety of products and presentations. Ability to proof read and finalize formal documents with a high degree of accuracy. This includes proofreading and editing written material, identifying and correcting errors in grammar, improving clarity, composition, flow, organization, content, punctuation, and spelling.
Organized and able to keep track of multiple activities which include the ability to prioritize and perform multiple tasks in the same timeframe, handle interruptions appropriately, and return to incomplete tasks. Ability to be discreet and maintain confidentiality, including the management of confidential information. Take initiative to do work without prompting. Maintain high degree of accuracy in multiple forms of communication.
Effectively communicate with and assist upset, confused, demanding, or otherwise difficult clients, and customers.
