Position summary The Office Manager will be an exceptionally organized and detail-oriented individual who will work closely with the Chief of Staff to support all office operations activities, with a goal of making it as easy as possible for Resolution staff to focus on working towards our mission. The candidate will serve as the friendly “face of Resolution,” welcoming guests, working with building staff, and organizing team activities. The Office Manager will have a number of project-based and longer-term tasks, creating operational efficiencies and enabling the organization’s success. This role requires collaboration, workplace oversight, and a creative mindset to ensure team success.
The candidate must have a flexible schedule, be prepared to occasionally join meetings and conference calls earlier and later than regular business hours, including occasional weekends. This team member is required to work from our office Tuesday-Thursday each week. Key responsibilities
Office Management • Be the first point of contact at Resolution’s office. Welcome guests, receive packages, answer and route office calls, and respond to general email inquiries. • Manage ordering and tracking of office supplies and equipment, ensuring materials are organized, and setting up and straightening up the office. • Liaise with building management and manage work orders. • Manage technology and cybersecurity vendors, ensuring staff are properly using technology, sharing updates and best practices, and handling troubleshooting to solve short-term and long-term issues. • Assist the Chief of Staff with budgeting for office needs, including office supplies, fixtures, furniture, and service contracts, while taking reasonable measures to decrease office-related expenditures. • Work on special initiatives as they relate to the full staff, including ongoing cyber security training, DEI work support, and other training and process creation, as needed. • Manage general organizational archives and files, coordinate shredding as needed, and oversee and catalog items in storage. • Research and identify areas where Resolution can continue to improve our operations, especially through the lenses of sustainability, diversity, equity, and inclusion.
Team Culture • Plan inclusive team-building and professional development experiences for staff at least quarterly, including researching and proposing new types of engagements and using data to understand staff engagement in each experience. • Work with the Chief of Staff to provide support for the onboarding and orientation of new staff members, ensuring their introduction to Resolution is as smooth and supportive as possible. • Recognize and celebrate staff accomplishments. Organize birthday and work anniversary recognition, and send notes and gifts to mark special occasions. • Promote friendly and safe team-oriented environment that allows all staff to feel welcomed, incorporating Resolution’s DEI values into all aspects of work.
Administrative Duties • Update Resolution’s website as required. • Lead scheduling process and communication for job candidates using an Applicant Tracking System. • Manage the tracking of professional development opportunities among the staff. • Maintain clerical and personnel records with integrity and consistency. • Other general office administration, research, event support, and special projects as needed.

The Associate Director of Academic Affairs and Collections reports to The Ringling's Executive Director.
Responsibilities will include:
Heading the collections management, research, and education division of The Ringling including the Collections (Registration & Prep), Library, Archives, and Education departments. Supervising department heads in these areas.
Serving as The Ringling's academic liaison to Florida State University (FSU), local college and universities, and partnering institutions of the Cross College Alliance. Traveling as needed in performing liaison duties.
Participating in special projects as appointed by the Executive Director including institution-wide, cross-departmental projects that provide administrative, management, and programmatic support to Ringling initiatives.
Directing the facilitation of all academic programs at The Ringling including academic internships, fellowships, and the summer intern program. Collaborating with Ringling Human Resources on the design and implementation of paid academic programs. Developing educational programming with museum staff throughout the academic year to support internship opportunities.
Responsible for facilitating graduate programs at the Ringling; collaborating with FSU faculty in Tallahassee to provide programmatic/curriculum support through evaluation and selection of resources/learning activities that support and enhance current curricula of each program.
Developing course curriculum and teaches seminars courses for the FSU/The Ringling MA program in Museum and Cultural Heritage Studies and providing these students guidance and mentorship in research and scholarship.
Developing and making recommendations on academic policies and procedures at the Ringling in conjunction with FSU.
Supporting outreach efforts aimed at local college students and young professionals, such as The Ringling Underground.

Qualifications
Academic Master’s degree or highest-level terminal degree from an accredited institution in Art History or a closely related degree, or equivalent qualifications based on professional experience and otherwise qualified to perform assigned duties.
Minimum of three years of experience in the development and delivery of college level courses.
Knowledge of principles and practices of academic program planning, development, and evaluation.
Minimum of three years’ experience in higher education and/or museum administration.
Excellent project management and organizational skills.
Prior supervisory experience.

Responsibilities
Responsible for care and management of The Ringling’s Collections. Provides oversight of the Registration and Exhibition Design/Preparation departments. Schedule

Responsibilities
Responsible for care and management of The Ringling’s Collections. Provides oversight of the Registration and Exhibition Design/Preparation departments. Develops, interprets, and implements associated policies and procedures. Develops and monitors budgets and emergency plans. Serves on Disaster Planning and Response Team. Serves as liaison to the Collections Committee of the Board. Collaborates closely with the Conservation department to ensure the care of collections items. Oversees coordination logistics for national and international traveling exhibitions and loans. Monitors climate control; environment; and maintains objects files. Oversees collections. Monitors registration system and collections' data integrity. Oversees the Rights and Reproductions Department. Oversees installation scheduling and Exhibition Design & Preparation budget. Assists in planning and exhibition installation. Monitors gallery maintenance schedule. Contributes to education mission by supporting and/or supervising Internships and Fellowships, tours, lectures, and training. Responds to scholars' requests for information related to collections or exhibits. Regularly uses motorized vehicles in daily work. May be required to travel (nationally or internationally) to serve as a Museum courier. Assignments are based on the needs of the Museum. Courier training and certification is required prior to the incumbent serving in this capacity. Please note that this position reports to the Associate Director of Academic Affairs and Collections.
