America Votes is currently seeking a Development & Grants Assistant to join our diverse and high performing Development & Grants team. Reporting to the Director of Development, the Development & Grants Assistant serves as the backbone of department operations by ensuring all administrative processes are in place to execute the department's work. This includes, working closely with other departments to ensure compliance needs are met, assisting with contribution tracking and acknowledgement, supporting donor communication needs, and other related projects as assigned. Support Grants Manager in working with finance and legal teams to ensure grantees have submitted necessary documentation for tracking.
Provide additional support on tracking and summarizing grantee reporting for internal and external communications.
Coordinate with the political department and state staff to gather information for regular funder updates on overall program execution.
Support the productions of various donor communications including research, content collection, copy-editing, etc.
Support the executing of in-person and virtual donor briefings (including slide administration and management).
Provide dedicated administrative support for fundraising principals, to include assistance with scheduling, meeting prep, and other logistical needs.
Manage the EveryAction platform, covering all data entry and system maintenance.
Maintain all contribution related information including invoices and contribution instructions.

Compensation
The salary for this position will be between $53,000 and $58,000 and depend upon the applicant's experience. Duties
What makes this role unique? You will assist your team members on the Technical Team to ensure we are receiving all necessary new hire paperwork for new employees, and for any internal movement actions for existing Ecology employees. You will help complete student loan forgiveness forms, verifications of employment forms, some inquiries from the Employment Security Department, assist with HRMS entry for select actions, and help to ensure our central files are up-to-date and maintained. What you will do:
Manage the onboarding paperwork for Washington Conservation Corps (WCC) and Ecology Youth Corps (EYC) members, by accurately entering new/rehires and separations into in the Human Resource Management System (HRMS), complete Personnel Action Forms (PA40’s) for EYC crew members and submit paperwork to our payroll partners.
Track paperwork for all Ecology hires, to ensure we are receiving all necessary new hire forms. These forms include employee information, affirmative action and demographics, I-9, new employee checklists, and emergency contact.
Complete Public Service Loan Forgiveness forms as they are received.
Receive and complete employment verifications received via telephone, fax, email, or mail by verifying employment of current or former employees in a timely manner. Process and complete necessary forms or letters, providing our payroll partners with the necessary forms to complete the request.
Assist in maintaining up-to-date position and personnel files. This includes printing completed, approved paperwork, and filing them in the appropriate place in the correct file.
Qualifications
Required Qualifications: Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:
30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent
20 hours worked per week for 12 months: (20/40) x 12 months = 6 months full-time equivalent

Duties
What makes this role unique? You will assist your team members on the Technical Team to ensure we are receiving all necessary new hire paperwork for new employees, and for any internal movement actions for existing Ecology employees. You will help complete student loan forgiveness forms, verifications of employment forms, some inquiries from the Employment Security Department, assist with HRMS entry for select actions, and help to ensure our central files are up-to-date and maintained. What you will do:
Manage the onboarding paperwork for Washington Conservation Corps (WCC) and Ecology Youth Corps (EYC) members, by accurately entering new/rehires and separations into in the Human Resource Management System (HRMS), complete Personnel Action Forms (PA40’s) for EYC crew members and submit paperwork to our payroll partners.
Track paperwork for all Ecology hires, to ensure we are receiving all necessary new hire forms. These forms include employee information, affirmative action and demographics, I-9, new employee checklists, and emergency contact.
Complete Public Service Loan Forgiveness forms as they are received.
Receive and complete employment verifications received via telephone, fax, email, or mail by verifying employment of current or former employees in a timely manner. Process and complete necessary forms or letters, providing our payroll partners with the necessary forms to complete the request.
Assist in maintaining up-to-date position and personnel files. This includes printing completed, approved paperwork, and filing them in the appropriate place in the correct file.
Qualifications
Required Qualifications: Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:
30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent

In this role you will, organize and effectively prioritize multiple competing tasks and have the opportunity to work on fast paced issues which are part of the Governor’s key priorities. REQUIRED SKILLS

Responsible for maintaining the fixed asset accounting system. This involves complete knowledge of the software program, accounting practices in regards to capitalizing fixed assets and appropriate years for depreciation, and an analysis of the plant fund and related audit and Bureau of Census reports.
Maintains a system for restricted and designated funds, including reporting to college
departments. Interprets restrictions and reviews for donor documentation before releasing to expendable accounts. Answers inquiries from department heads, IE, and Provost Office.
Prepares audit schedules for all restricted gifts, grants, endowed and investment funds.Prepare notes to financial statements including investments, pledges, endowment market/cost values, museum revenues and acquisitions.
Required Knowledge/Skills/Experience

What makes this role unique?

Duties
What makes this role unique?
As our first point of contact, you will manage the front lobby area and our main Ecology phone line, responding to general inquiries from the public in both English and Spanish, government agencies and staff, both in person and over the phone so you will need to be able to multi-task while maintaining a high level of professionalism. You will engage with Ecology’s ten environmental programs and make determinations on directing inquiries. You’ll be responsible for coordinating emergency personnel (i.e. fire, police and medical) that come to the building in response to an emergency, serving as the first line of security for the Central Region Office. Process outgoing and incoming mail.
Direct customers to appropriate staff for assistance, handling multiple forms of communication simultaneously, and providing courteous customer service.

Access the calendar and schedule time.
Schedule conference rooms.

Research Assistance (30%)
Undertake research with guidance from colleagues, including collection and synthesis of qualitative and quantitative information.
Review publications, utility regulatory dockets, interview transcripts, program data, and other sources to draw out insights and learnings as directed.
Attend and summarize key takeaways from webinars, meetings, and virtual workshops/conferences discussing transportation electrification, funding & finance, utility regulation and other topics.
Communication, engagement, and coordination (20%)
Support development of slide decks, draft memorandums and other resources for internal and external audiences to convey information, present analysis, and provide recommendations.
Participate in engagement with internal and external partners and stakeholders to strengthen relationships and collaborate on projects.
Assist in coordination of publications through development and review processes.
Administrative Assistance (50%)
Design and implement efforts to increase team efficiency through streamlined internal coordination, better meeting practices, improved program organization
Ensure effective internal coordination by arranging internal meetings, preparing agenda items, taking notes
Create and maintain internal knowledge repositories, files, datasets, organizational charts, notes for the ESBI program to improve internal knowledge sharing and organization
Provide guidance to staff on travel logistics and provide direct travel support to the project lead
What you will need:
Education: You have a Bachelor’s degree in any field including humanities, social sciences, hard sciences, math or engineering
Experience: You have 0-2+ years full-time relevant work experience. You have had exposure to or experience with policy, communications, program administration or project management, or research in any related field such as energy, public health, community engagement, EV transition, transportation, or others,
Coursework, experience, or interest in economics, finance, or cost-benefit analysis
Experience using various Microsoft Office tools such as PowerPoint, Word, and Excel
Languages: You have written and verbal proficiency in English.
Requirements: Existing work authorization is required where this position is based. WRI is unable to authorize visa work authorization.
Potential Salary: Salary is commensurate with experience and other compensable factors. WRI offers a competitive remuneration and benefits package.
