Position summary The Program Manager - Volunteer Program is the external marketing name for our internal role, Program Manager, Guide Program. The Program Manager, Guide Program will join a high-performing team to help ensure Resolution’s achievement of key objectives, with specific duties related to the successful strategy and management of the Resolution Guide Program. This role will lead communication and outreach strategies to build Guide community and support volunteer engagement initiatives that recognize members of our community for their contributions in supporting Resolution Fellows and our mission. The Program Manager will also be responsible for the rollout and implementation of our volunteer management system, HandsOn Connect. This position will also work with a Program Coordinator they manage, to set strategy to build a pipeline of Resolution Guides to support our Fellows as the organization grows. Key Responsibilities
Work collaboratively with professional staff, Fellows, and volunteers to support programmatic goals and organizational growth as follows: Guide/Fellow Team Management

Finalize rollout and oversee our volunteer management system, HandsOn Connect, including its interaction with Salesforce.
Oversee Guide onboarding and ensure Guides have engaging and current support materials (volunteer handbook, training, etc.).

Review and approve Guide Elections and the annual Guide re-election process.

Manage the Knowledge and Learning team inputs into internal project management systems, including outreach and engagement tracking with members

Event Coordination, Logistics and Outreach (25%):
Organize and ensure the successful execution of in-person workshops and events, including contracting and making necessary payments for venues, facilitation services, interpretation services, catering, availability of materials, and any other needed services
Arrange travel for participants, in keeping with donor requirements and NDC Partnership budgets
Complete participant travel reimbursements, ensuring proper documentation. Help with staff travel arrangements and expense reports as needed
Provide logistics support for online events including Zoom administration, participant and attendee tracking and regular updating of member engagement monitoring systems
Coordinate Knowledge and Learning inputs to internal and external NDC Partnership newsletters. Promote Knowledge and Learning activities, products, and events through outreach to members and placement in external mailing lists
Prepare talking points and slide-decks, as needed. Give team presentations on agreed topics, as needed
Administration (15%):
Liaise with Knowledge and Learning team members to structure team meetings and encourage cross team exchange
Attend internal and external meetings, taking notes and tracking follow-ups with staff and partners
Coordinate and schedule internal and external Knowledge and Learning meetings. Assist with recruitment of staff, interns, and consultants
Manage Knowledge and Learning onboarding materials and lead the onboarding of new staff members
Support the Knowledge and Learning Director in administrative needs, including scheduling, travel, email, communications, and general organizational needs
Serve as the go-to person for the Knowledge and Learning team's ad-hoc administrative needs
What will you need:
Education: Bachelor's degree in a related field or with substantial professional work to demonstrate the relevance of that experience

Regularly review, update, and monitor all transactions, commitments, and revenue prospects for projects
Solicit, review and process invoices and other payments in compliance with established WRI policy
Follow WRI’s internal processes and deadlines related to funding, including quarterly reviews, monthly & annual closeouts, and future fiscal year annual budget submissions
Collaborate with other NCA-related projects across WRI to coordinate on staffing, fundraising, and financial management
Grant Management (25% time)
Support financial report for project management and external donors and work with relevant departments to document expenses and prepare for audits
Draft grant proposal budgets and support the collection and submission of formal proposals for team fundraising
Support donor and grants management by supporting upkeep of company database and other knowledge management systems
Monitor and advise team on maintaining compliance with terms and conditions of complex grant and contract agreements
Project Management (25% time)
Support project managers in coordinating with external partners, and provide close liaison with WRI staff across programs and departments, and operations teams at WRI international offices
Process contracts, procurement documents, work orders, and other formal documentation for project commitments
Prepare and maintain sub-agreements and contracts in collaboration with project team ensuring agreements are completed on time, including the accurate submission of progress and financial reports
Support partner management by reviewing and drafting language for contracts, reviewing interim and final reports, and ensuring all supporting documentation is accurate and provided; remind them of deadlines, and keep records of all their documents (reports, invoices, receipts, etc.)
Maintain project status tracker to gather relevant information and activity inputs to support required narrative reports
Administration & Events Management (15% time)
Coordinate team meetings and help coordinate team’s planning processes, including responsibilities for meeting notes, action items, etc.
Coordinate recruitment and manage onboarding of new team members members and interns
Keep electronic filing system for project documents including contracts, reports and relevant backup documentation, such as invoices and timesheets
Coordinate conference, webinars and event logistics for domestic and international meetings and workshops, including venue, catering, equipment, translators, travel, per diem and visa support for WRI staff and event participants
What you will need:
Education: Bachelor's degree required or sufficient work experience to demonstrate equivalent professional competency; 1+ years of relevant, full-time work experience, preferably including familiarity with financial management, grants or contract management, or nonprofit operations;
Experience: Demonstrated strong computer skills including high level of comfort with Microsoft Office (Excel, Word, PowerPoint, Outlook), web-based communications (Teams, Zoom), with CRM database (Salesforce) and budgeting preferred
Organized thinker with an interest in program operations, grant compliance, and financial management

The program has 25+ student-athletes each year that compete primarily in pom, hip-hop, and jazz. The dance team competes in local competitions, showcases, and the Iowa State Dance Championship. Makes all arrangements for special board meetings including retreats and Policy Governance training/updates for all new and current Board members.
Performs required Board secretary duties as outlined in the Code of Iowa, to include record preservation, taking meeting minutes, collaborating with Treasurer to keep accurate financial records of expenses and funds.
Ensures all legal requirements are met regarding board meeting proceedings including Code of Iowa 279 and 260C appeals and Chapter 20 and 21 closed and exempt board sessions.
Composes correspondence, reports, and other documents containing sensitive information.

Assists the President in gathering and compiling data for presentations and/or Board of Trustees using presentation software, handouts. etc.

Essential Job Functions
Important responsibilities and duties may include, but are not limited to, the following:
Reports directly to the President.
Assists the President in their goals, including all relevant matters concerning the Board of Trustees.
Maintains the President’s calendar. Responsible for scheduling meetings and appointments. Makes travel arrangements as needed.
Fields incoming office inquiries via in-person, telephone, or email.
Coordinates special events as assigned by the President and/or as pertinent to the Board of Trustees and the College.
Coordinates, prepares, and files reports required by the college as well as local, state, and federal governments. Determines proper file designations and maintains an electronic or physical filing system for correspondence, records, reports, etc.
Provides executive support to the Board of Trustees in the coordination of services, activities, and duties as outlined in the Code of Iowa to ensure that all legal requirements for the board are met.
Maintains the official Board Policy Governance Manual. Drafts revisions as needed in collaboration with the President and Board.
Prepares all election papers for the Board of Trustees, including all election and special levy/bond papers and files with the County Auditor all nomination papers and resolutions necessary for publication for annual elections.
Makes all arrangements for special board meetings including retreats and Policy Governance training/updates for all new and current Board members.
Performs required Board secretary duties as outlined in the Code of Iowa, to include record preservation, taking meeting minutes, collaborating with Treasurer to keep accurate financial records of expenses and funds.
Ensures all legal requirements are met regarding board meeting proceedings including Code of Iowa 279 and 260C appeals and Chapter 20 and 21 closed and exempt board sessions.
Composes correspondence, reports, and other documents containing sensitive information.
Collects and compiles information on budgets and other projects.
Assists the President in gathering and compiling data for presentations and/or Board of Trustees using presentation software, handouts. etc.
Gathers information, approvals, and related material for the processing of purchase orders.
Ensures appropriate distribution and disposition of correspondence, directives, complaints, and related materials.
Schedules meetings as needed including room reservations, catering needs, equipment needs, and inviting participants.
Makes travel arrangements for the Board of Trustees as needed.
Maintains personnel and leave records for the President’s direct reports.
Maintains college’s organizational chart.
Assists President with personal correspondence i.e., sympathy cards, get well cards, holiday greetings, news clippings, etc. for college
Assists with coordination of special projects or initiatives as directed by President.
Creates correspondence on behalf of the President and Board of Trustees.
Creates PowerPoint presentations for the President.
Prepares and maintains agendas and minutes for various groups including but not limited to: President Cabinet and President Leadership Group.
Participates in campus committees as assigned.
Performs other duties as assigned.

Minimum Qualifications
Associate's degree in a related field and five (5) years of administrative support experience or an equivalent combination of education and experience totaling seven (7) years.
Demonstrated understanding of postsecondary curriculum, education process and the required state documentation for community colleges.
Demonstrated understanding of institutional network procedures and reports.
Experience with budget analysis and preparation.
Experience with schedule management to include multi-departments, record and report preparation, process improvement, and document creation, maintaining complex filing systems.
Demonstrated ability to handle confidential/sensitive information with discretion.

Demonstrated ability to work independently.

The Assistant Volleyball Coach assists with the supervision and coaching of practices and competitions for the men’s and women’s bowling program. Minimum Qualifications

Two (2) years coaching and/or competing in soccer.

DESCRIPTION/RESPONSIBILITIES: Provides support, as a member of the Front Office & Communications team, for the priorities of the division director on a wide range of projects. Serves as Secretariat for S&R Division leadership teams and the Supervision Committee, and primary S&R contact for the Joint Committee of Board members and Reserve Bank presidents on supervision and regulation matters. Coordinates and contributes to division-related internal and external communications and internal briefing materials for external outreach activities. Participates in planning of division and System events and activities. Principal Duties and Responsibilities 1. Supports the work of the Front Office & Communications team in serving as secretariat for S&R Division leadership teams and the Supervision Committee, which consists of, among others, the officer in charge of supervision at each Reserve Bank. Coordinates meeting logistics, and prepares agendas and post-meeting action plans. Recommends substantive and logistical improvements to Supervision Committee operations. 2. Serves as primary S&R contact, and possibly staff coordinator, for the Joint Committee of Board members and Reserve Bank presidents on supervision and regulation matters. Coordinates logistical arrangements and agenda planning with the staff of whichever Reserve Bank president chairs the committee, and with the office of the Board’s oversight governor. 3. Oversees and contributes to the preparation of briefing materials for governors and other senior officials for external outreach activities, congressional hearings, and press conferences. This includes working closely with staff in the Office of Board Members, Office of the Secretary, and others to analyze and understand requests, identify drafters, and coordinate responses involving multiple parties. This also involves tracking progress and resolving issues to meet tight deadlines. 4. Coordinates the development of prepared materials (including, for example, the supervision and regulation section of the Board’s Annual Report and briefing books for Governors) and division-related external publications and public website content. This includes working closely with the Board’s Public Affairs staff and others. Reviews content for responsiveness and appropriateness for the intended audience and works directly with authors to revise materials accordingly. 5. Coordinates with the Board’s Congressional Liaison Office on legislative review and congressional briefing requests. 6. Coordinates, or provides support and backup to team members in coordinating, the processes to respond to external correspondence requests directed to the Federal Reserve relating to supervision and regulation.
