The enrollment specialist (ES) is responsible for the recruitment and enrollment, and ensuring children and families integrate into the Hope House Colorado Early Learning Center (ELC). The ES is responsible for the tracking of the on-site Child and Adult Care Food Program (CACFP) and Colorado Child Care Assistance Program (CCCAP). This position will manage all children's health statuses and files to ensure licensure compliance. The ES will work closely with the operations & finance team around ELC parent tuition and ELC finance processes. Looking to hire in July for an August 19th first day of school.
What you will be doing:
Responsible for recruitment and enrollment of children in the ELC
Facilitate the initial enrollment of children in the ELC by handling inquiries, providing information, giving tours, processing initial applications and completing all required enrollment forms
In partnership with the business manager, ensure tuition payments are received from staff and teen moms (CCCAP parent portion), as well as other funding streams accepted by the ELC to include summer camp, and private pay for children of HHC staff
Coordinate family resources, engagement and learning opportunities at the ELC; and ensure quality as outlined in Colorado Shines
Maintain each student file and ensure that health records are up-to-date
Work with business manager to ensure county CCCAP financial agreements are kept up to date
Ensure all children are signed in and out in Early Learning Ventures each day, track late arrivals/early pickups, ensure parents enter any missed punches within 48 hours
Responsible for maintaining compliance with CACFP administrative requirements
Work with kitchen manager to maintain compliance with CACFP
Collect, maintain and ensure accuracy of weekly ROMS from classroom teachers and weekly/monthly menus from kitchen manager

POSITION SUMMARY:
The referral coordinator will provide patient care services under the direction of a licensed health care provider. This includes handling referrals, health follow-ups and coordination services.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Coordinates and manages authorizations for referrals from our primary care providers to outside providers, including to medical specialists and outside facilities for special testing/imaging in a timely manner.
Facilitates and ensures the receipt of consult/specialty notes and test results after a patient has been referred to an outside provider in a timely manner.
Communicates with primary care provider (PCP) to inform of any delays or barriers to patients care.
Serves as clinic liaison to outside agencies and partners.
Communicates with Supervisor when unable to process all referrals or follow-ups to avoid delays.
Involve in all quality improvement and other team projects actively.
Reporting of incoming and outgoing calls logs to the supervisor as needed.
Coordinator and tracking imaging, voicemails and incoming faxes inside and outside facilities.

REQUIREMENTS:
Training and Experience:

In order to solicit and synthesize critical information and insights related to near-term and long-term operational strategy and goals, this position will act as a liaison within and across units, OHA divisions, Federal agencies, and community providers, councils, and individuals with intent to identify issues and challenges, help negotiate solutions and process improvements, and spread best practices.

Minimum Qualifications
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An equivalent combination of education and experience.
Desired Attributes

Experience factoring in the perspectives of diverse populations most harmed by social injustice and inequities including communities of color, immigrant groups, the disability and neurodivergent communities, veterans, older adults, individuals identifying as LGBTQIA+ and other communities that have been traditionally marginalized.
Knowledge of Oregon Administrative Rules and Oregon Revised Statutes, other applicable regulations, and program requirements.
Knowledge of health services delivery systems, particularly the Oregon Health Plan/ Medicaid Administration in Oregon and relational landscape of key partners, providers, community based organizations, and advocacy groups.
Knowledge of Oregon's Behavioral Health System and relational landscape of key partners, providers, community based organizations, and advocacy groups.
Ability to demonstrate advanced Microsoft Excel, Word, Outlook, and use of collaboration tools such as Microsoft Teams and SharePoint.
