In this role you will, organize and effectively prioritize multiple competing tasks and have the opportunity to work on fast paced issues which are part of the Governor’s key priorities. Evaluate costs and/or purchases for equipment, supplies, faculty development, travel, and estimate needs for supplies, equipment, and projects.

Assist division chair(s) with orientation and training of new faculty, work with new adjunct faculty to setup email, voicemail, keys, copier set-up, computer requirements and other necessary paperwork.
Initiate bookstore orders, purchase requests, Foundation check requests, invoice vouchers, work order requests, key requests, personnel action forms, special assignment agreements, travel requests and travel expense vouchers using electronic and manual processes; assist faculty with travel and purchasing procedures.
Manage division, department, and program email distribution lists; update as needed including OU Campus web support for division, department, and program sites, maintain and upload reports to individual website for Behavioral Sciences and Social Sciences Divisions
Calendar management, schedule and arrange meetings, coordinate travel including identifying registration costs, meals, transportation, mileage, hotel, per diem as well as any other miscellaneous cost related to travel.
Facilitate orientation and training of new faculty, assist as needed regarding class schedule planning, maintain accurate student files for program applications and selected students, and provide support to students selected into the program.
Serve as administrator of the SOFA EvaluationKIT process, build quarterly project for student evaluations of unit faculty, compile and input data, monitor response rates, download reports upon project completion, and distribute report summaries in accordance with established schedule and Save results per established unit procedures and forward on to division chair as appropriate maintaining confidentiality.
Prepare and process documents and ctcLink requests such as purchasing, requisitions, travel requests expense vouchers, and faculty leave forms.
Provide office reception, respond to inquiries, and make referrals; furnish clear and accurate information on college policies and procedures.
Provide support for the College’s Honor’s Program. Coordinate with unit Dean to update honors spreadsheet, create Change of Registration forms, fill out PAFs for stipends, etc.
Perform related duties as required.

Job Summary

Essential Job Functions
Important responsibilities and duties may include, but are not limited to, the following:
Maintains the VP of Student Affairs & Institutional Diversity and division calendars.
Responsible for scheduling meetings, events, and appointments.
Fields incoming office inquiries via in-person, telephone, or email.
Maintains effective and efficient flow of communication and information through calendars, correspondence, memos, messages and office records.
Organizes college committee meetings, by providing the following services: calendar and room scheduling, agenda preparation, taking meeting minutes, and organizes specific event tasks as assigned by the VP of Student Affairs & Institutional Diversity.
Makes business travel arrangements for staff as needed.
Assists in reading, researching, and routing correspondence such as drafting letters and documents, collecting and analyzing information, and initiating telecommunications.
Ensures operation of office equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; arranging for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Receives, prepares, and submits requisitions into Colleague.
Fields incoming public and campus requests and route to appropriate personnel.
Assists the Vice President and some directors within the division with administrative tasks when needed.
Maintains confidentiality with sensitive information.
Participates in campus committees as assigned.
Coordinates in-services and professional development days for division, as needed.

MINIMUM REQUIREMENTS:

Job Summary
The primary responsibilities of the Bilingual Administrative Coordinator II are to provide overall support to the Movement-Building and Issue-Based Campaign team within CRS’ Mission & Mobilization (M2) division. This includes administrative and project support relevant to the Movement-Building and Issue-Based Campaigning department, sharing pertinent information, and report preparation.
This position is responsible for coordinating projects that involve working with staff at all levels and supporters.
The Bilingual Administrative Coordinator II is responsible for virtual and in-person event planning, calendar management, travel arrangements and logistical support, translation and interpretation (English/Spanish), and budget.
Roles and Key Responsibilities
Event Planning and Travel Logistics for Chapter Management, Campaigns and Hispanic Engagement
Plans agendas, schedules, and coordinates logistics for internal/external meetings and events for the Director, Movement-building & Issue-based Campaigns, for the Director of the Campaign Team, and three (3) National Advisors
Arranges travel for the Director, Movement-building & Issue-based Campaigns, for the Director of the Campaign Team, and (3) National Advisors including but not limited to coordination of tickets, visas, processing travel-expense reporting and reimbursements.
Provides travel support for international immersion trips, speakers tours and advocacy Hill days
Serves on M2’s virtual production team handling all aspects of some virtual events, including video recording, production and publishing
Finance & Budget
Collaborates with Executive Assistant to manage departmental financial matters, including ongoing monitoring of budgets across all units, credit card reconciliation, payment processing, and guidance regarding financial systems and processes
Data and Communications Platforms
Manages content for relevant SharePoint sites and Microsoft (MS) Teams channels, including posting documents, sharing relevant communications, and organizing information
Updates Gateway data and runs Gateway reports
Update and curate bilingual content for constituent digital platforms, including, Gateway Communities
Translation Interpretation & Support
Translates (English/Spanish) materials for a variety of audiences: internal and external
Interprets (English/Spanish) for M2 events as necessary
Provides translation support for telephone inquiries as needed
Administrative Support
Facilitates engagement of consultants, and hiring of interns and/or summer hires as needed
Formats, edits, proofreads, reproduces, and distributes materials, including PowerPoint presentations, spreadsheets, reports, and other documents in English and Spanish as needed
Attends meetings and produces meeting minutes and notes as needed
Manages departmental timesheets and monitors leave requests
Orders supplies and equipment as needed
Serves as the department’s CRS brand ambassador to ensure adherence to CRS guidelines in collaboration with Marketing and Communication (MARCOM)
Manages routine inquiries received by the department and Director II, Movement-building & Issue-based Campaign team (English/Spanish)
Conducts research as necessary for various projects
Supports other units within Mission & Mobilization as needed
Qualifications
Basic Qualifications
Education and Experience
Required: Associates degree in a related field. Bachelor’s degree a plus
3+ years of administrative experience in a fast-paced office environment
Required Languages – Bilingual (English, Spanish)
Work hours : Regular core hours plus must be available to work limited (no more than 5 hours per month) weeknight hours and limited weekend hours (no more than 3 hours per month).

Knowledge, Skills and Abilities (SKAs)
Strong communication skills, both oral and written
Excellent organizational skills and strong attention to detail

Creative approach to work with emphasis on systems efficiency
Proficiency with MS Office 365 Suite including Outlook, Word, Excel and Power Point; familiarity with SharePoint
Financial or budget experience a plus

Ability to handle routine work as well as special assignments; willingness to develop new skills

Preferred Qualifications
Working knowledge of Catholic Church structure
Familiarity with customer relations databases or previous experience with constituent relationship management (CRM) database such as Salesforce
