Job Purpose
Associate Director, First Year Experience provides administrative, programmatic, and logistic support for areas related to the First Year Experience (FYE) program. FYE partners with other departments, programs, and faculty across campus to support student success in the first year through their completion of the FYE requirement. The AD helps manage enrollment in FYE and FYSS courses, anticipate enrollment numbers, run pre-enrollment and enrollment for fall and spring semesters, produce registration reports, track the successful completion of the FYE requirement for all First Year, iCharleston, and Charleston Bridge students, and otherwise assists the FYE Director and FYE Committee. The AD is responsible for maintaining the FYE website and other digital and marketing materials for students, parents, faculty, and staff.
Minimum Requirements
Bachelor’s degree and 1-2 years progressively responsible experience working with students in a higher education environment required. Master’s degree preferred. Some training in or familiarity with First Year Experience programs is desirable, but not required. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Ability to learn quickly and work independently, manage time and meet deadlines. Demonstrated computer proficiency including Microsoft Office programs required. Experience with database management, data analysis, and reporting required. Knowledge of Banner or other student information system and experience with, and interest in, web design and digital media preferred. Must be organized with attention to detail, and have excellent communication and organization skills. Must be able to establish and maintain supportive relations with students, faculty and other staff. Knowledge of FERPA privacy regulations is essential.
Additional Comments Regarding Position
May be required to work some early mornings, evenings, and weekends. Some travel may be required.

Enrollment of all first-year students into FYE and FYSS courses. Manage enrollment of all First Year Experience courses, including communication with students for pre-enrollment efforts for fall and spring semesters. Create and monitor student course surveys. Review and maintain enrollment data in Banner. Communicate and coordinate FYE enrollment processes with academic advisors, department chairs, FYE faculty, and students. Generate enrollment reports for use in FY enrollment management and forecasting. Track the need for summer courses. Work with CIE to advertise and enroll students in the FYET spring break study abroad programs. Assist with FYE enrollment management for iCharleston and Charleston Bridge students transitioning to full-time enrollment each spring. Assist with Orientation, Accepted Student Weekend, Open Houses, and other campus-wide events involving FYE as required. Represents department in meetings with prospective students and parents.

Support FY student success. Track student completion of FYE requirement during their first year at CofC. Monitor FYE faculty reporting for students at-risk, analyze midterm grades, meet with students, and coordinate support interventions for students in academic jeopardy. Work with CEPE Associate Director and Peer Facilitators to track and communicate concerns about FYSS completion with students. Communicate with students not enrolled in FYE or students who have not completed FYE degree requirement and take necessary actions to resolve (including summer courses and other completion options). Work with other Student Success and Student Affairs offices to communicate with students about academic and mental/emotional health support opportunities.

Coordinate and track FYE course events, activities, and high-impact experiences. Help FYE Director and FYE faculty organize class and outside class events and activities such as guest lectures, class trips off campus, and faculty-designed course enhancements. Order or pick up supplies for course events, organize, report, and track expenses in FYE budget.

Assist faculty FYE Director with Faculty training, development, and assessment. Work with FYE Director to organize, advertise, and run FYE faculty trainings, workshops, and other pedagogical development and support opportunities. Help with identifying and coordinating potential speakers and trainers for workshops. Provide support with purchasing materials, supplies, and food. Assist with program assessment activities, including annual FYE student and faculty surveys. Participate in regular program review with the FYE Director and others.
